COVID-19 Protocols & Policies
As our journey continues in the pandemic and with the unpredictable COVID fluctuation, we want you to know what steps we are taking. We will be putting safety first, and strictly following Pasadena City Public Health guidelines and the State of California event guidelines.- Proof of vaccination or a negative COVID test upon check-in.
- Provide one form of a government-issued ID at check-in.
- Vaccination proof can be presented in a digital format, physical card, or photo of vaccination card on your phone; For the purposes of this guidance, people are considered fully vaccinated for COVID-19: two weeks or more after they have received the second dose in a 2-dose series (Pfizer-BioNTech or Moderna), two weeks or more after they have received a single-dose vaccine (Johnson and Johnson [J&J]/Janssen), or two weeks after receipt of another vaccine authorized by the World Health Organization (WHO). Full vaccination must be completed at least 14 days prior to the event.
- Negative COVID test results must be within 24 hours if antigen test and within 48 hours if PCR test (see documentation below to ensure you have the proper form to show onsite). Results of the test must be available EACH DAY a person enters the event or venue. We have contracted with TeliMedi LLC and Dr. Plasencia, as our third party testing company, to offer onsite tests.

- What types of tests can be used for diagnostic screening testing?
Antigen or molecular tests used for diagnostic screening testing of individuals who are asymptomatic must either have Emergency Use Authorization by the U.S. Food and Drug Administration or be a test operating under the Laboratory Developed Test requirements of the U.S. Centers for Medicare and Medicaid Services. These tests need to be used at different minimum frequencies, please see below for details.
What types of tests can be used for pre-entry testing and when should they be performed?
CDPH recommends a point of care test (antigen or molecular) within 24 hours of entry for asymptomatic individuals. If point of care testing is not available, molecular testing of asymptomatic individuals within 48 hours of the event with results available before entry is recommended. In settings where testing is required by a State Public Health Order, either an antigen or molecular test is acceptable.
What can be used as proof of a negative pre-entry test in settings where pre-entry testing is required?
The following must be included in the documentation to allow it to be acceptable as proof of a negative COVID-19 test result:
> A printed document from the test provider or laboratory, OR
> An electronic test result displayed on a phone or other device from the test provider or laboratory.
The information should include person's name, entity issuing the result (e.g. laboratory, healthcare provider or telehealth services), type of test performed (PCR/NAAT or antigen), specimen collection date, and negative test result.
- Wear a mask at all of our indoor events, unless you are presenting from a podium or you are at one of our meal events and are actively eating or drinking. No other exceptions to our mask policy will be allowed.
What happens at registration for the conference each day? GET YOUR WRISTBAND
- If you are vaccinated to enter, you will show either your pre-approved verification or your vaccine information and get a SPECIFIC COLOR wristband. You need only replace the green wristband when desired. Otherwise, you do NOT need to get checked on every day. A simple flash of the wristband is sufficient.
- If you are using a negative test, you MUST
be manually checked for having a valid,
current negative test. After being checked, you will be given the
wristband COLOR OF THE DAY as appropriate. If you use a valid, current negative test, you will
get the wristband COLOR OF THE DAY. It will need to be updated each day.
Does this
mean I might have to get a new test or multiple new tests if my 24-hour
(antigen) or 48-hour (PCR) window expires during the CAPPO conference?
YES. A new, valid test and new, valid results will need to be shown to enter the CAPPO Conference. Please plan accordingly.
What if I took a test for entry but I don’t have the results back yet?
Proof of a negative test must be shown for entry. We have contracted with TeliMedi LLC and Dr. Plasencia, as our third party testing company, to offer onsite tests. Tests will cost $45 and will need to be paid at the time of the test. The company can provide you a receipt so you can seek reimbursement from your insurance provider.
Where will screening for entry take place?
Outside the main entrance to the Pasadena Convention Center and door monitors will be at other entries to ensure you have done the daily check. This includes attendees, staff, workers,
volunteers, contractors, exhibitors, etc.
Additional safety precautions,
- There will be hand sanitizing stations throughout the venue
- We will have the touchless self-check-in system for registration
- We will be setting rooms at a 60-70% capacity so that individuals can maintain social distancing to their preferences
- Aisle ways in the expo hall will be 12 ft versus the standard 10 ft
- We will offer colored badge holders or lanyards to designate individual comfortability:
- Green – High Fives and Handshakes
- Yellow – Elbows Only
- Red – No Contact
- Everyone has a personal responsibility to help with safety protocols. If prior to the conference or during the conference you begin to feel any symptoms or become ill, or aware of a direct exposure to COVID-19 which would put you in quarantine guidelines you should not attend the conference. If you are already onsite, we ask that you stay in your hotel room and report the issue to admin@cappo.org so that we can help support arrangements for you - such as finding a local testing center, food delivery, etc.
